Privacy Policy

ReferralHub ("the App", "we", "us") is an internal employee-referral tool built and operated by Direct Result Group for Direct Result, TSU, Activate and Athena (together, "the Companies"). This policy explains what personal data ReferralHub collects, why, and how it's used, in line with the EU General Data Protection Regulation (GDPR).

1. Who is responsible for your data

The data controller for ReferralHub is Direct Result Face to Face Marketing, Moermanskkade 600, 1013 BC Amsterdam, the Netherlands. For any privacy question or request, contact [privacy@direct-result.com].

2. Who can use ReferralHub

ReferralHub is meant for employees of the Companies. You can sign in with a Google account, or create an account with any email address — including a personal one — and a password. It isn't meant for the public and isn't used to collect data from website visitors generally.

3. What we collect

About you, when you sign in

When you sign in with Google, we receive your name, email address and profile picture from Google. If you create an account with an email address instead, we store the name and email address you give us, and a one-way hash of your password — never the password itself. We use this to identify you within ReferralHub and to attribute the referrals you submit, including to recruiters (see below).

What recruiters see about you

Every referral you submit carries your name and email address with it. They are added to the referred person's candidate profile in Recruitee (as "Referrer" and "Referrer email"), where the recruitment teams of the relevant Company can see them and may contact you about the referral. If you registered with a personal email address, that is the address recruiters will see.

About the person you refer

When you submit a referral, we collect the information you provide about that person: their full name, email address, phone number, how you know them, and which company and office you're referring them to.

Before referring someone, please make sure they're comfortable being put forward for a role and having their contact details shared with the relevant company's recruitment team.

4. How we use this data

• To operate the referral program: match referrals to the right office and company, track referral status, and show you how many people you've referred.
• To pass referral details to Recruitee, the applicant tracking system used by the Companies' recruitment teams, so a recruiter can follow up with the person you referred. Recruitee processes this data as the Companies' recruitment platform — see Recruitee's own privacy policy for how it handles applicant data.
• To show recruiters who made each referral: your name and email address go to Recruitee with every referral, as described in Section 3.
• To keep you signed in (a session cookie) and to protect your account — for example by confirming your email address, sending password-reset links, and limiting repeated sign-in attempts.

We don't use this data for advertising, and we don't sell it.

5. Who we share data with

• Google, to authenticate you if you sign in with Google (see Google's Privacy Policy).
• Recruitee, to route referrals into the relevant hiring pipeline — including your name and email address as the referrer.
• Resend, our email provider, to send you account emails (email confirmation and password-reset links). It receives your email address and the content of those emails.
• Sentry, our error-monitoring service, to find and fix problems. When something goes wrong it receives technical details — which page or action failed, the error, and your browser and device type. It is set up not to receive passwords, cookies, form contents, email addresses or the links we email you.
• Within the Companies, referral data — including who made each referral — is visible to the recruitment and HR teams responsible for hiring.

We don't share this data with any other third party.

6. How long we keep it

Once a referral has been passed to Recruitee, we delete the referred person's details (name, contact details and your relationship to them) from ReferralHub and keep only a count of how many people you've successfully referred. If a referral fails to reach Recruitee, we keep its details until it can be sent. We keep your own account for as long as it's useful to the referral program and as required to meet our legal and record-keeping obligations. Your name and email address stay on the candidate profiles in Recruitee for as long as the Companies keep those profiles, even if your ReferralHub account is deleted. You can ask us to delete your data at any time — see Section 8.

7. Cookies

ReferralHub uses one essential cookie to keep you signed in. We don't use analytics or advertising cookies.

8. Your rights

Under GDPR, you have the right to access, correct or delete your personal data, to object to or restrict certain processing, and to receive a copy of your data. To exercise any of these rights, contact [privacy@direct-result.com]. If the person you referred wants to exercise these rights over their own data, they can contact us at the same address, or Recruitee directly regarding the recruitment process.

9. Changes to this policy

We may update this policy from time to time. We'll update the "Last updated" date above when we do.
